Upload a certificate for a participant
Participants can upload their own proof of completion for an Other Course, but an admin can also do it directly on their behalf. This is a separate flow from the participant's own upload, and it works differently: there's nothing left to review afterwards.
BEFORE YOU START
The participant must already be assigned to a bundle that includes this Other Course. Only participants who meet that condition show up in the picker — if none do, the Upload Certificate button doesn't appear at all.
Open the course's results page
Open Other Courses and choose the chart icon for the course, which opens its Results page.
Choose Upload Certificate.
Fill in the upload
Pick the Participant from the dropdown. Each entry shows their name, email and which client/bundle they belong to.
Choose the Certificate File — PDF, JPG or PNG, up to 10MB.
Set Course Completed On. It can't be a future date.
Check the Expiry Date. If the course has an Expires after (days) setting, it's pre-filled from the completion date; adjust it or clear it if this particular certificate shouldn't expire.
Choose Upload.
GOOD TO KNOW
A certificate uploaded this way is approved immediately — there's no pending state and nothing to review afterwards. That's the difference from a participant's own upload, which sits in Certificate Review until someone acts on it. Since you're the one attesting to it directly, there's no separate reviewer to hand it off to.
If the participant already had a certificate pending review for this course, uploading here replaces it. Anything already approved or rejected is left alone — that history stays on the Results table.
A COMMON MISTAKE
If you're backfilling paperwork from months ago, use the real completion date, not today's date. It drives the expiry calculation, so an inflated date can make a certificate look valid for longer than it actually is.
