Review certificates participants upload
When a participant submits their own proof of completion for an Other Course, it sits as pending until an admin approves or rejects it. This walks through that review, and where to do it.
Find pending certificates
There are two places to review a certificate: a dashboard-wide queue, and each course's own results.
From Other Courses, choose Certificate Review to see every upload across all your Other Courses in one list, with Pending, Approved and Rejected tabs.
Or, from a single course's Results page, see just that course's uploads, with an extra All tab and stat cards for Total Uploads, Approved, Pending and Rejected.
Both list the participant's name, which client and bundle they belong to, when the certificate was uploaded, and the date they say they completed the course.
Look at the certificate
Choose View Certificate to open the uploaded file before deciding.
Approve it
Choose Approve. In the Approve Certificate dialog, correct Course Completed On if the participant entered it wrong.
If the course has an expiry setting, an Expiry Date field appears, pre-filled from the completion date. Adjust it if needed, then choose Approve again to confirm.
Or reject it
Choose Reject instead. The Reason for Rejection (optional) field is shown to the participant, so it's worth filling in — "Certificate is not legible" is more useful than nothing.
GOOD TO KNOW
Rejecting doesn't lock the participant out. They can submit a new upload, which becomes the new pending entry, while the rejected one stays in the history with your reason attached.
A COMMON MISTAKE
Don't reach for Delete when you mean to reject a certificate. Delete only works on a still-pending upload and removes it with no record and no reason kept — Reject keeps the history and tells the participant why.
If something isn't working
What next
Approving is only half the expiry story — you can revisit the date afterwards without redoing the whole review.
