Set and change certificate expiry
An approved Other Course certificate can carry an expiry date, after which it no longer counts as valid. There are three places this date comes from, and you can correct it at any time after approval.
BEFORE YOU START
A certificate needs to exist first — either uploaded by the participant and approved by you, or uploaded by you directly on their behalf. Expiry only applies to approved certificates; a pending or rejected upload has no expiry date.
Set a default on the course
This is the fallback every approval and admin upload reaches for, unless someone overrides it.
Open the Other Course's Edit screen, on the Course Settings tab.
Set Expires after (days, optional) and choose Save Course Settings. Leave it empty and certificates for this course never expire by default.
Confirm or adjust it when approving
The default becomes a real date once a specific certificate is approved.
In the Approve Certificate dialog, if the course has an Expires after (days) value set, an Expiry Date field appears, pre-filled as the completion date plus that many days.
Type over it if this particular certificate should expire on a different date, or clear the field to mean it never expires. Then choose Approve.
The same Expiry Date field, with the same pre-fill behavior, appears when you use Upload Certificate to submit proof on a participant's behalf — that upload is approved immediately, so the expiry is set in the same step.
Change it after approval
Nothing about the expiry date is locked in once a certificate is approved.
On the course's Results page, find the approved row and choose Edit Expiry Date (pencil icon).
Set a new Expiry Date, or leave it blank to clear the expiry entirely, and choose Save.
This works even for a certificate that was approved before the course had any expiry setting at all — you're not limited to whatever was computed at approval time.
GOOD TO KNOW
A blank Expiry Date means the certificate never expires — it's not treated as expiring immediately. That applies whether it's blank because you cleared it or because the course had no default to begin with.
A COMMON MISTAKE
Changing Expires after (days) on the course itself doesn't reach back and recalculate certificates already approved. It only affects approvals and admin uploads that happen from that point on — go back and use Edit Expiry Date on existing rows if they need the new number too.
If something isn't working
What next
An expiry date is only useful if someone gets reminded before it arrives.
