Read the billing overview

The billing overview shows how many credits your account has used this month, how many are left, and where recent top-ups came from. This walks through what each number on the page means.

BEFORE YOU START

Billing is switched on per account. If Billing & Usage is not in your dashboard sidebar at all, it has not been enabled for you, and nothing in this article will apply yet — contact support if you believe it should be there.

Open the overview

Billing here works by page access, not by course count or participant count — the more course pages your participants actually open, the more it costs.

Open Billing & Usage from the sidebar. It opens on Overview.

Read the line under the heading — it states plainly that billing is based on the number of course pages your learners access, which is worth keeping in mind before the numbers below start to add up unexpectedly.

Track this month's free allowance

Every account gets a free monthly credit allowance. A progress bar near the top tracks how much of it is left for the current calendar month.

Check the bar labelled Monthly free credits — [current month]. It shows credits used against the free total for this month only, plus the percentage used and the number remaining underneath.

Watch the bar's colour, not just the number. It turns amber once you pass 60% used and red past 90%, so you can tell you are close to the limit without reading the figures closely.

Read the three stat tiles

Below the progress bar sit three coloured tiles, each with one number.

Credits used Total course pages billed to your account so far this calendar month, across all clients.
Free credits left How much of this month's free allowance remains — the same figure as under the progress bar.
Paid credits active How many separate paid top-ups — PayPal purchases or redeemed vouchers — still have a balance left to spend.

Active credits and recently used up

Underneath the tiles are two tables that list your credit batches individually rather than as totals.

Active Credits Every paid or voucher credit batch that still has a balance: its source (PayPal or Voucher), total, remaining, used, and the date it was issued.
Recently Used Up The last two credit batches that reached zero, with their source, total, issue date, and the date they were depleted.

If there are no active paid credits, the table says so directly and points you to Buy Credits.

GOOD TO KNOW

Your monthly free credit does not appear as a row in the Active Credits table — it is already summarised in the progress bar above. Only the current month's free credit is shown; past months' free allowances are not carried over or listed.

If something isn't working

Billing & Usage isn't in my sidebar

It has not been enabled for your account. Contact support if you expect access to it.

The Active Credits table is empty

You have no paid top-ups with a remaining balance right now. Buy credits, redeem a voucher, or wait for next month's free allowance.

A participant retook a course today and I don't see a second charge

That's expected. The same client and course combination is only billed once per calendar day, so same-day retakes don't add another charge.

The percentage reset overnight

The free allowance and its percentage bar are scoped to the current calendar month — they start over on the first of each month.

What next

If the free allowance is running low, you'll want to add more credits. If you manage several clients, you may also want to see how usage splits between them.
